Why Omni Price and SmartFill Make the Perfect Pair

There are just some things in life that are better together like chocolate and peanut butter, crackers and cheese, cinnamon and sugar. Ok, all this talk about food is making me hungry so let’s talk about solutions.

The ultimate Rockton Software power couple (drumroll please) is Omni Price and SmartFill. Individually, both products make work simpler and easier® in Dynamics GP, but together, they make a dynamic duo.

Here are 4 ways Omni Price and SmartFill proves to be the perfect pair.

1) SmartFill in the Price Check window – Inquiry | Omni Price | Price Check:

We could all use a trusty sidekick at times. Just like Batman needed Robin to give him a hand in sticky situations, the same is true for Omni Price and SmartFill. 

Let’s say a customer calls in and needs a quote on one or more of your Items. You open the Price Check window and remember part of their Customer Name. You type in the part you remember in the Customer ID field and tab off. The Make a Selection window opens, and there you see and select which Customer is on the phone without having to ask them to repeat their name.

Crisis averted.

Let’s Dive Deeper

When doing price checks, SmartFill allows you to quickly do a search for the Customer. If it is the Customer Name, City, Phone Number, User Defined field, etc. that you know, you can enter that value into the Customer Number field in the Price Check window, tab off, and the Make a Selection window will open with the Customers that contain that value.

Note: You can add SmartFill to the fields that contain a lookup.

Here is how it looks from the Price Check window when you enter FIT for the Customer ID and tab off the field to open the Make a Selection :

2) SmartFill in the Sales Transaction Entry window – Transactions | Sales | Sales Transaction Entry: 

You are entering the Sales Transaction and are about to add an Item Number. With SmartFill, now you can type in part of the Item Number or Item Description. Tab off the Item Number field and the Make a Selection window opens with not only the Item Number but also the Quantity Available at each Site ID.

3) SmartFill in the Pricing Transaction Inquiry window – Inquiry | Omni Price | Pricing:

Some of the most famous couples have blossomed from non-traditional situations. Take Romeo and Juliet for example, against their families’ wishes they found love. Or perhaps, you are given options, just like everyone’s favorite reality show: The Bachelor. How does this apply to Omni Price and SmartFill you ask?

Let’s say you need to view some of the Pricing Transactions. So you open the Pricing Transaction Inquiry window and see that you have several options to choose from in the Selection Range. You know the Contract ID and/or Contract Description contains Mark so you enter that in the Contract ID From field and tab off the field. In the end, the Make a Selection window opens where you are then able to select which Contract ID you want to see the Pricing Transactions for, and offer up your final.

4) SmartFill in the Price List Maintenance window – Reports | Omni Price | Price Lists:

One of your customers calls and they would like to see a report with their special pricing. You can utilize the Price List Maintenance window in Omni Price to print out a report for your specific customer and item. There are several options available to select. In this example, you wanted to show the customer their Original Pricing, Special Pricing, and Contract ID for the Retail Price Level and for the Base Unit of Measure. You have options when it comes to pricing in Dynamics GP

Some are natively within GP, while others are add-ons. We are going to go through 4 different options with you.

GP Standard Pricing is your basic pricing. You can create price levels and assign them to customers, so they get the needed pricing. It is easy to set up. When you enter transactions, the price level will usually default and pull the price for them. They can always change it, but it is just a simple way to pull in the price.

Extended Pricing is also from Microsoft and is a bit more flexible than Standard Pricing. It is entirely separate, so in order to use it, you have to turn it on. It will then completely ignore Standard Pricing. It can be annoying to have to switch between the two.

Omni Price takes pricing to a new level. With Omni Price, you have more ways to filter and can have multiple contracts. You can prioritize them as well, so if there is more than one contract valid for a transaction line, it will then look at the priority. A central feature of Omni Price is that you can use dates to filter the contract. This is big for those places that have special pricing just for a date range or even annual pricing.

Rockton Pricing Management is also a pricing tool like Omni Price but with more functionality and flexibility that most pricing needs can be met and if not, it is highly doubtful any pricing solution could do it.

Dynamics GP Pricing Options

What are the Pros and Cons for each?

Standard Pricing

You can create different price levels per Item to determine pricing. This allows you to assign different pricing to customers. For example, you could have Item A that is $5 for warehouse customers, $7 for retail customers, but then maybe you also have some loyal customers where it is $6. This allows you to assign the appropriate price level per customer.

You also have different options on how you calculate a price within GP. These are price methods. You can base it on the cost of the item (the amount you paid to get the item in stock). So maybe you paid $10 and you use a price method of % of current cost and you choose 2% – the price it sells at would be $12. You could also have it based on the price you choose. Lots of options.

That info is pretty standard for an ERP software. The add-on products are where it adds more flexibility.

Extended Pricing

This is an add-on in Dynamics GP, but it is still part of GP. This is a little different than the GP standard pricing. If you are going to use Extended Pricing (EP), then you need to enable it and GP Standard pricing is completely ignored. You instead use Price Sheets and Price Books to get your pricing. With EP, you can have date-driven pricing and can be more customer-driven. You can also do promotions through EP such as buy one get one 50% off or buy three and get one free.

Omni Price

You can definitely step up your pricing game now. Omni Price allows for more complex pricing scenarios but is easily added to GP on top of the Standard Pricing. Therefore, all your existing pricing is still valid. You can add to the existing pricing, but you can also set up rules to override the standard prices based on several conditions. Omni Price offers greater flexibility on pricing than offered by Standard Pricing or Extended Pricing because of its use of filters and intra range selection.

Rockton Pricing Management

Like Omni Price but more robust. Extremely flexible pricing. It meets almost any pricing needs you may have. You can base pricing off GP pricing and then add calculations. Rockton Pricing Management isn’t any ordinary pricing tool. It’s only the most flexible, powerful, multi-platform (yes, it works with any ERP!) pricing solution ever available.

Technical Support

With a current AMA, you and your Microsoft Partner have unlimited access to our talented technical support team. Angela, Dana, and team are available to assist you by phone, email, and web streaming during our regular business hours. Our customers consistently report satisfaction ratings over 95% in follow-up surveys after a support case has been closed.

Unlimited support? Seriously?

Yes! From the beginning, we have provided our customers with unlimited support. We recommend that you first reach out to your Microsoft Partner for support, as the Partner will be familiar with all of your third party products and the specifics of your GP system, but we happily provide whatever direct support is needed.

Product Enhancements

At Rockton Software, we constantly modify, expand, and improve our products. With a current AMA, simply visit our website and download the latest build for FREE. If you like, we’ll even email you whenever new builds are available.

Upgrade Protection

A new major version of GP is released approximately once per year. With a current AMA, you can upgrade your Rockton products at no additional fee by downloading the new version and installing your upgrade key. New registration keys can be requested from within GP using the “Get Keys” feature, on our Partner Portal, or by emailing sales@rocktonsoftware.com. Download the new version of your Rockton product, install your new key, and you’re done!

What happens if I let my AMA lapse?

If for some unfortunate reason your AMA is neglected and becomes lapsed, not all hope is lost. While you will not be eligible for the benefits listed above (support, enhancements, upgrades), our team will be happy to get you back on track. For example: if you need to add an additional user, require support help, or have upgraded to a new version of Dynamics GP, you can work with our sales team to bring current your AMA. Please note that in doing so, you will be responsible for penalties incurred by the prior missed payments.

Are you and your team weary of installing a new product in your system? You are not alone! Considering potential system downtime is essential when deciding to implement a new solution; as we all know: time is money!

Let’s examine potential complications that would result in extended downtime during an installation:

  • No registration keys
  • Error messages and trying to find a resolution
  • Having an excessive amount of machines to install

Just as there are install scenarios to avoid, here are a few suggestions to help streamline the process:

  • Run through the install and implementation on a test environment first
  • Have registration keys and code ready to install before you begin
  • Verify all machines are available for the installation, don’t forget to account for spares or those that are not used every day.

As for Rockton products, the install itself does not take long. It is best practice to have users log out of Microsoft Dynamics GP whenever you are installing code. Typically, with each of our products, you will want to install them on every workstation. The resulting downtime is merely a reflection of how many workstations you have.

The first install will take the longest as this step creates the tables and stored procedures. Even then, the install accounts for less than 15 minutes. Each additional workstation usually requires 5-10 minutes of processing. All of our products, except Omni Price, have tables stored at the system level. This means it only needs to be installed once on each machine.

For Omni Price, you will need to install for each company that will be utilizing Omni Price. Depending on how many companies you have, the install could take a bit longer than our other products. You only need to install Omni Price on the machines where pricing is used or needs to be viewed.

After the product is installed, users may continue to work in the system while you continue the setup of the product. The actual implementation will vary based on product, but can typically be accomplished within a day. Product configuration can be expedited if you have been using our product in a test environment, which we highly recommend.

Cue Auld Lang Syne and raise your glass to another year in the books! This time of year we like to take a pause and reflect on developments of the past, present, and future.

PAST

 

2017 played host to two major Rockton product releases. In January, we introduced two new tools to the Dynamics GP Toolbox: Batch Review Window and Security What If?. Later, in June, we put out a major release for Omni Price. Both releases have been wildly successful and we’ve received positive feedback from happy customers!

PRESENT

 

A peek behind the development curtain and you’ll find a robust Auditor release that’s been in the works for a while. This new build is scheduled to be released the later part of Q1 2018. You may be wondering, “What can we be looking forward to?” We’re glad you asked!

New Queued Approvals:

Currently, when using e-sign and you request a signature or a sign off on a change, that sign off has to happen right away in order for that change to take effect.

Not anymore.

We’re introducing another additional option where you can queue that approval. If for some reason an approver is not available to approve that change on demand, the proposed change will sit in a queue and wait for the approver. Once approved, it will go back in through the system and that change will occur.

Expanded Journal Voucher Roadmap Functionality:

In Auditor, many are familiar with the journal voucher roadmap for the GL that shows users who did what in the transaction process. We are going to be push that functionality out to other modules as well so you’ll get a nice view of who is entering transactions, approving them, and finally posting them.

If you made any suggestions around these queued approvals or other features that we’ve put into Auditor or any product releases, and we’ve told you that we’ve attached your name to that software bug or product enhancement, you’ll automatically receive a notification. So keep an eye out!

FUTURE

 

Also to come in 2018, a new release for Dynamics GP Toolbox and a product enhancement to SmartFill.

Overriding a Contract ID in Sales Order Processing

With the latest versions of Omni Price on Dynamics GP 2013 R2, 2015, 2015 R2, 2016, and 2016 R2, you have the ability to override a Contract ID on the line item in Sales Order Processing.

Here are some examples when a User might need to override a Contract ID:

  1. The Salespeople are authorized to pick from a list of the applicable Contracts for the Items they are selling to the Customer.
  2. The Salesperson gave a one-time discount to a Customer but the Contract for the discount was set at a lower priority making it not the defaulted Contract.
  3. The Customer said they would buy several more quantities if they could get the rest of the quantities at a discounted price.
  4. The company is offering BOGO. See KB How to utilize Omni Price for your Buy 1 Get 1 (BOGO) Offerings on how to utilize Omni Price in this situation.
  5. The Customer is buying the items from a different Location that has its own special pricing setup on a Contract but the Contract was not the defaulted Contract.

Using a Shortcut Key to see the Contract ID or to select a different Contract ID

If you are not using the Omni Price alternate window and the Contract ID field is missing, you can still change the Contract ID for the line item in Sales Order Processing by pressing the Ctrl+Y keys. Having a quick and easy implementation for third party products in your Microsoft Dynamics GP system is important to your business, your customers, your users, and of course, your wallet. Maybe you are trialing a brand new product or perhaps it’s time to upgrade your current product, either way, implementing and installing can be a daunting task.

 

If you’re looking to install a Rockton Software product for the first time, for a trial period, or to install a newer build of a Rockton Software product, it’s as easy as these steps!

  1. Download the correct Rockton Software product version that corresponds to the Microsoft Dynamics GP version you are currently running. 
  2. Have all users log out of Microsoft Dynamics GP and make a complete restorable backup.
  3. Extract the downloaded Rockton Software product’s zip file, then find and right-click on the setup.exe file, for example SmartFillSetup.exe, and then click Run as Administrator.
  4. Install the files to the correct Microsoft Dynamics GP code folder. For example, the typical path for the Microsoft Dynamics GP 2015 code folder is: C:\Program Files (x86)\Microsoft Dynamics\GP2015.
  5. Right-click on Microsoft Dynamics GP, and then choose Run as Administrator.
  6. Choose Yes to Include new code.
  7. Log in as sa.
  8. On the first install, go through the Installation Wizard, which will automatically open.
  9. Finish the install by performing steps 3-6 on all workstations that have Microsoft Dynamics GP installed.
